YOUR INFORMATION & YOUR CHOICES
Privacy notice
Interview practice is personal. This notice explains what StudyInAus Interview Coach saves, what is sent to Google Gemini, and who can review your preparation.

What the app collects
- Your name, email address and a protected password hash for your account.
- The study profile you provide: destination, institution, course, intake, funding, background, career plans, and any gaps or previous refusals you choose to describe.
- Your interview choices and consent, a copy of the profile used for each session, recorded camera video and audio, automatic transcripts, AI feedback, and session dates.
- Practice assignments, counsellor notes and the links that give counsellors access to students.
- Optional uploaded documents and extracted facts, your phone number and WhatsApp preference, plan orders, and report notification delivery records when those features are used.
- Sign-in sessions and limited request information needed to secure the service and prevent misuse.
- Optional country and city of residence, recent account activity, and AI request token measurements used in private operational reports. Location comes from your profile, not GPS. Browser-reported live usage is unverified and is not used to charge you.
Use relevant, accurate details. Do not enter bank account numbers, passport numbers, passwords, or information about other people that is not needed for your practice.
Live interviews and Google Gemini
When you consent and begin a live interview, your microphone audio and study profile are sent to Google Gemini to conduct the conversation and produce automatic speech transcriptions. Your saved transcript and the profile used for that interview are sent to Gemini to generate feedback. This processing requires an internet connection, including when you run the app locally.
Camera video is saved for replay in StudyInAus; the app does not send camera video to Gemini. The feedback report uses your transcript, profile and available document extracts. It does not assess the recorded audio or video, pronunciation, eye contact or body language. Speaking estimates use transcript wording and browser timestamps and may be inaccurate. On request, Gemini also receives your saved feedback to explain it in Urdu.
Google processes the information under the terms and data settings applicable to the Gemini account configured by the service administrator. Google’s processing and retention are separate from the recording retention setting in this app. Ask your administrator about those settings before sharing information you do not want processed by an external AI service.
Optional documents
Upload only documents you have permission to share, and redact unnecessary account and identity numbers first. Each upload requires your agreement to encrypted storage and sending the file to Google Gemini for text extraction. Extracted facts may be compared with your interview answers; this does not authenticate a document or verify your eligibility.
Original files are accessible only from your own account. Extracts are stored in the database and can contribute to feedback visible to your linked counsellors and administrators. You can remove documents from your profile. Deleting an upload does not erase facts already incorporated into a saved report or administrator-managed backups.
Plans and report notifications
When paid plans are enabled, checkout is handled by Stripe. The app sends your name, email address, order reference and purchase details to the payment provider, and stores payment status and interview credits. Card details are entered on the provider’s checkout and are not stored by StudyInAus.
If the administrator enables report notifications, the configured email service receives your email address and a link to your report. Linked counsellors may receive your name, score and report link. WhatsApp delivery requires your phone number and explicit opt-in in your profile; its provider receives the template message and report link. Report links still require an authorized sign-in. Disable WhatsApp in your profile to stop future WhatsApp report notifications.
Who can see your information
You can see your own profile, sessions, transcripts, recordings and feedback. Administrators can access student records. A counsellor can review your profile and interviews only while an administrator has linked that counsellor to your account; they can also assign practice and add notes. Other students cannot access your records through their accounts.
Super administrators can review platform accounts, interviews, revenue records, AI usage and aggregated residence information. AI usage records can be retained without account or interview identifiers after those records are deleted, for operational totals.
Reports and recordings require a signed-in account with access. If you download a report or recording and share it, you control that copy. Removing a counsellor link stops future access through the app, but cannot remove copies that person has already downloaded.
Storage and recording retention
Account details, profiles, transcripts, feedback and notes are saved in the app’s database. Recordings are encrypted before being stored on the server or in the private storage service selected by the administrator. Local development stores this information on the machine running the app, while Gemini processing still takes place online.
Recording access expires after 90 days by default, measured from when the interview is created. The administrator can configure a different period for new interviews. Background cleanup removes expired recording files; a service interruption can delay physical deletion. Recording expiry does not automatically delete your transcript, feedback, notes, profile or account.
You can permanently delete an interview from its detail page once it is no longer live. This removes its saved recording, transcript, feedback and counsellor notes from the app. End an active session before deleting it. Downloaded copies and any administrator-managed backups are separate from the live app.
Cookies and local recovery
An essential sign-in cookie keeps you signed in for up to seven days. Signing out clears that session. The app does not add advertising trackers or marketing analytics.
During recording, your browser temporarily saves pending recording pieces and transcript text so an interrupted upload can be recovered. Successfully uploaded pieces are removed from that queue, and the local session record is removed after saving finishes. Unsent data may remain on that browser after you close the page or sign out.
If saving is interrupted, reopen the interview in the original browser and choose “Recover and finish saving.” Unfinished sessions can be recovered within 24 hours of starting; the final seconds before a browser closes may be unavailable. Clearing this site’s browser data removes local recovery data and may permanently lose anything that has not uploaded. The server’s recording expiry does not clear browser data or downloaded files.
Your choices and requests
You choose whether to grant camera and microphone access and whether to begin recording. You can stop an interview, edit your study profile for future sessions, download an available report, or delete a saved interview. Updating a profile does not rewrite the copy already used in an earlier interview.
For account deletion, access or correction requests, questions about storage and backups, or removal of a counsellor link, contact the StudyInAus administrator who provided or manages your access. Account recovery and account-wide deletion are handled by that administrator; this app does not currently provide a self-service account deletion screen.
